Who’s involved
When you apply for a role through a careers page hosted by Kaidon, your data is processed by two parties:
- The hiring organisation (whose name appears on the careers page). They are the controller — they decide why your data is processed and who sees it.
- Kaidon Talent Ltd. We are the processor — we provide the applicant tracking system the hiring organisation uses, and we hold your data on their behalf in line with the agreement between us.
What we collect
The fields you submit on the application form (name, email, phone, location, right-to-work indication, LinkedIn / portfolio URL, cover note, CV) plus the metadata of your interaction with the page (timestamps, IP address, basic browser information).
How it’s used
- To evaluate your application for the specific role you applied to.
- If permitted by the hiring organisation’s policy and agreed by you at submit time, to also evaluate you for similar future roles within that organisation.
- For AI-assisted screening — applications may be reviewed with AI assistance, but a human recruiter makes every decision that affects your candidacy.
How long we keep it
By default, your data is retained for up to 12 months after the role closes. Some hiring organisations retain it longer for talent-pool purposes — they will tell you about that separately and you can opt out.
Your rights
You have the right to access, correct, port, or erase your data, and to withdraw consent at any time. Send a request to dsar@kaidon.ai and Kaidon will route it to the right hiring organisation. We respond within 30 days.
Where your data lives
Application data is stored in the EU on Kaidon’s managed Postgres infrastructure, CVs in private object storage. We don’t sell your data and we don’t use it to train external AI models.
